Party Planning: Getting Started

So you're turning 13… or 15… or 16… and you’re ready to party. Chances are you'll need some help putting the big shindig together -- that's where party professionals come in. Before you and your parents start making phone calls or scouring the internet, check out our quickie guide to who’s who and what’s what.


The Planning
If you and your parents are too busy to put together the perfect party or simply want a little help finding party pros and getting all of the details in order, a professional party or event planner can give you a huge boost. They'll take care of many of the nitty-gritty details and know exactly what you'll need (and who to go to) to make your dream party come to life.

The catch? Hiring an event planner can be costly, so if you're planning on keeping things super-simple they might not be for you. That said, a party planner can also often save you money through their connections (after all, they help throw big parties pretty much every weekend, so they've gotten to know peeps in the business pretty darn well). And maybe the biggest plus: An event planner deals with everything during the actual party, so you (and your parents!) can have fun without worrying.


The Music
You can't have a party without music, but what's your style? Will you hire a DJ, or an entire band? Think about the kind of space you're throwing the party in as well as the kind of vibe you're going for.

If you're hiring a band, the type of musicians you hire -- a ten-piece orchestra, a rock band, a jazz ensemble -- will depend on your personal style, taste, and where you’re having your party. After all, a big band crammed in a small space isn't going to seem posh, it's just going to be very, very loud. Listen to demo tapes and drop by some live gigs if possible -- not bad homework, huh?

Thinking a DJ is more your style? No problem. Just don't hire a DJ sight unseen. It's not the most amazing way to spend a Saturday, but make sure you tag along with your parents and meet some of these professionals in person so you get to know their personalities. Some DJs may also have videos of them at other parties so you can check out their MC talents.


The Pictures
You'll want to remember your party forever, so clearly, you're going to want some pics! How to find the perfect photographer? Simple. Check out our local listings for sure, but also be sure to ask around. Did you go to any great parties last year? Ask the hosts who their photographer was and whether they were happy with the pictures -- word of mouth can get you some great referrals. When you've got some potential candidates, ask to see recent party pics they've shot. These will give you a good idea of whether their style is what you're looking for.


The Food
What kind of food do you want to serve? And how much of it? There are tons of options out there, from a sit-down dinner to a low-key brunch -- and everything in between (appetizers only to a dessert buffet!). If you're having a lot of people or a particularly formal affair, chances are you'll work with a caterer. Hidden catering expenses abound in the form of service (waiters and bartenders), equipment (plates, silverware, and linens), and bar items, if you're serving alcohol to the adults (liquor and garnishes). Don't ask about the base food cost -- find out the cost per person including these extras. Ask the caterer to prepare a tasting before you finalize the menu, so you'll know exactly what you're getting.


The Decorations
Transforming a space to fit your style and theme -- whether it's your backyard or a fancy ballroom -- is going to take some effort and creativity. This is another place where having a professional party or event planner can come in mighty handy -- they'll not only be able to help you figure out what will look best, chances are they know just where to find it. If you're going it on your own, check out party rental stores to see what's available to rent -- from tablecloths to potted plants -- to make the space all about you. You can also ask your site what they can provide: Sure, basic plates come with the package, but maybe for a little extra they can give you place settings in a cute color.

You may also decide to work with a florist if you'd like floral centerpieces on your tables or decorating the space. Look at samples or photos of work the florist has done, and discuss prices for flowers you prefer. If they're too expensive, ask how to get the same effect with cheaper blooms and greens -- overall, you're much better off asking for a specific color than a specific flower. A skilled florist will be able to make you a beautiful arrangement that suits your style much more cost-efficiently if they can simply choose from which flowers are in season.


The Cake
Any old birthday cake just isn't going to cut it this time, but be aware that a cake that looks great -- and feeds all your friends -- may be pretty costly. Cakes are usually priced by the slice. That cost comes from the ingredients and how ornate the cake's decoration is -- pretty big variables. Decide what kind of cake you think you want, or just decide on what about it matters most to you (Does it absolutely have to be covered in pink flowers? Will you freak if it's anything but chocolate?) before you and your parents talk to bakers. When you compare prices, compare their estimated cost for your dream cake (not just the general range of costs you'll likely find on their websites, for example). That way, getting exactly what you want should be a piece of… well, you know!

P.S.: Don't Forget The most important thing to remember when dealing with party pros? Contracts. Make sure you sign one with every professional you hire, and make sure the contract lists all details: Dates, times, and exactly what you'll get (and what you don't want) from the person or company.
